What Determines a VFFS Machine Quote?

Understand which configuration and project-scope decisions change a packaging machine quotation before comparing prices.

Define what the price covers

A base bagger and a complete weighing and packaging line are different purchases. List the feeder, dosing unit, platform, conveyor and controls included in each proposal. Identify equipment you already own. Without that scope, a lower total may describe less equipment rather than a better-priced version of the same system.

Separate product and format options

Bag size changes, valve application, gas flushing and additional dosing or forming parts can alter the quoted configuration. State the products and packs the initial order must cover. Ask which later changes require separately supplied parts or trials. Avoid comparing a basic configuration with a proposal that already includes those options.

Review the project costs

Compare packing, transport responsibilities, startup support, training and spare-part provisions alongside the machine. Ask for commercial validity and exclusions in writing. No universal price range is published here because the intended configuration is not yet defined. Use a consistent brief to obtain a quotation tied to your production requirement.

Define what the quoted machine price includes

There is no useful universal price for a VFFS project without a defined product, pack and scope. A quotation may describe the bagger alone, or it may include an elevator, dosing unit, support platform, printer and discharge conveyor. Make a scope list before comparing totals. Include the exact format tooling and the number of initial recipes, and ask which integration work is included when equipment comes from different suppliers.

The commercial comparison should identify the currency, delivery terms and services actually offered. Treat taxes, freight, installation travel and local electrical work as separate lines until their ownership is agreed. A low headline equipment price cannot be compared fairly with a complete installed-line quotation. Similarly, a high initial price is not evidence of better suitability without a technical explanation and a relevant sample trial.

Build an operating worksheet from observed tasks

Calculate operating requirements using your production pattern. Count planned reel changes, product changes and cleaning intervals during an ordinary shift. Include the people needed to supply product, remove finished packs and perform quality checks. Automation can move work from filling to replenishment or inspection; it does not automatically eliminate those tasks. A practical staffing discussion should be based on observed work at the intended output.

Track material consumption and rejected packs separately. Startup film, underweight or overweight packs, damaged product and seal rejects affect cost in different ways. Keep the assumptions visible so that finance and production can change them without rebuilding the entire calculation. Use a realistic range for uncertain inputs, particularly when the factory has not yet run the proposed packaging material or format on automatic equipment.

Test the sensitivity of the investment decision

Consider a clearly labelled planning example: two proposals have similar accepted output, but one needs a longer format change and the other needs more expensive packaging material. A factory running one long daily batch may value them differently from a contract packer making several short batches. Compare the expected SKU schedule, not an imagined continuous run of the easiest product. Replace all example assumptions with measured or supplier-confirmed values before approving spending.

Ask for priced options only where they address a documented requirement. Keep uncertain future capabilities separate from the initial purchase so the team can see their incremental cost and testing needs. The result should be a transparent comparison of equipment scope, operating assumptions and remaining risks. Compare cost per accepted pack using a transparent worksheet

A useful cost model has separate rows for packaging material, product consumed, direct operating work and agreed maintenance allowances. Keep one-time equipment and installation costs in a separate investment section. This prevents a short production trial from being presented as a complete financial forecast. Use the buyer's actual accounting method for allocating capital and overhead rather than inventing a standard payback period.

For every input, record whether it is measured, quoted or estimated. Film consumption from a short trial may still need adjustment for the expected number of reel and product changes. Labour requirements may change when inspection and case handling are added. Show those dependencies openly. A simple worksheet with visible uncertainty is more useful than an impressive total built from assumptions nobody can verify.

Use the same accepted-pack definition for all proposals. If one trial excludes startup rejects and another includes them, their apparent material efficiency is not directly comparable. Reconcile the counting method first. Where a product can be recovered from a rejected pack, record the recovery procedure and its limitations separately; do not assume that every rejected unit has either zero value or full recoverable value.

Consider the cost of an unsuitable configuration

A configuration mismatch can create repeated expense without appearing in the initial quotation. Examples include a bag that needs too much manual attention at discharge, a product that requires frequent clearing or a format change that interrupts short batches. These are reasons to run representative trials, not reasons to assign speculative penalties to every machine. Identify the likely mismatch and ask for evidence that resolves it.

A missing interface can also shift cost between suppliers and the buyer. Review the product feed, utilities, printer, inspection and downstream equipment as a complete scope. Ask who will perform integration and who will verify the final line. If the buyer intends to supply an existing component, obtain a compatibility review before counting its reuse as a confirmed saving.

Spare parts and support should be evaluated through confirmed arrangements. Record the items recommended for the selected machine, their identification and the commercial terms actually offered. Do not insert assumed delivery times or round-the-clock support into an operating model. The value of a service arrangement depends on its defined scope and the factory's ability to use it.

Decide which uncertainty to remove next

If the investment decision changes substantially when a single assumption changes, focus the next trial or supplier question on that assumption. For a fragile snack it may be accepted yield; for frequent short runs it may be changeover work; for a new pouch it may be automatic opening reliability. This is more efficient than requesting another undifferentiated discount from every supplier.

End the review with a project-specific comparison, not a generic internet price range. Keep the quoted scope, the operating worksheet and the unresolved conditions together. When the product or package changes, revise the analysis rather than continuing to use the original estimate. A credible cost decision explains its assumptions and identifies the evidence still required before spending is committed.
